We are seeking a highly energetic and motivated individual to join our team as an Office Manager. In this role, you will play a crucial part in boosting our daily operations by ensuring efficient office management and providing essential support to our team members. As an Office Manager, you will oversee various responsibilities to facilitate smooth office functioning and create a positive work environment.

Key responsibilities:

  • Office Operations: Manage and maintain office operations, including overseeing office supplies, equipment, and facilities. Ensure that the office is well-stocked and functional, liaising with vendors as needed.
  • Office Equipment Inventory: Maintain a comprehensive inventory of office equipment, including computers, printers, and other supplies. Monitor stock levels and coordinate with the procurement team to ensure timely replenishment.
  • Administrative Support: Provide administrative support to team members and executives, including managing calendars, scheduling meetings, and handling correspondence. Assist with preparing reports, presentations, and other documents as required.
  • Travel and Logistics: Coordinate travel arrangements for team members, including booking flights, accommodations, and transportation. Arrange logistics for meetings, conferences, and events, including venue selection, catering, and equipment setup.
  • Document flow: Assistance with document flow, printing and scanning documents. Process invoices, purchase orders, and reimbursements. Collaborate with the finance team to ensure accurate and timely financial record-keeping.
  • Communication: Serve as a point of contact for internal and external stakeholders. Respond to inquiries, relay messages, and facilitate effective communication within the office.
  • Team Coordination: Foster a positive and collaborative work environment. Coordinate team activities, events, and celebrations. Support onboarding of new employees and ensure a smooth integration into the company culture.

Our ideal candidate will possess:

  • Previous experience in office management or a related administrative role preferred.
  • Advanced English proficiency (C1).
  • Preferred proficiency in Russian (B2) and Greek (B2).
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proactive in identifying and resolving issues, with a solution-oriented mindset.
  • Demonstrates professionalism, confidentiality, and integrity.
  • Excellent interpersonal skills and ability to collaborate with diverse individuals and teams.
  • Proficient in PC usage and Excel.
